This mailing list is for the purpose of communicating with members and friends of the society. It is run on the MailChimp service. MailChimp resides outside the EU but is certified compliant with the EU/Swiss Privacy Shield framework. 1. For this list we ask subscribers to supply only an email address and the consent to use it to send notifications to current, potential and former members and friends of the society about news and activities likely to be of interest to them. We hold this data on the Lawful Basis of ‘Consent’. Consent is given through submission of an online subscription form with a second-stage confirmatory email. 2. In addition to the email address and consent to market, we hold, via MailChimp, for each subscriber a record of which emails have been sent to them. Where possible MailChimp also records whether the subscriber opened the email and whether they followed a link, plus an estimate of their district (to within a few miles). We hold this data on the Lawful Basis of ‘Legitimate Interest’ to enable us to analyse our communication with the membership community and improve it where possible. To obtain the data above, MailChimp uses tracking techniques, including cookies, which are clearly described in the MailChimp Privacy Policy, Terms and Cookie Statement. 3. Every email sent via the Mail Chimp service contains a clear link to allow recipients to unsubscribe. This can also be done via our website. Because of this we will not periodically seek re-confirmation of consent from current members, and we will only seek it from non-members every 5 years. Lack of a response will result in the email address being unsubscribed. All requests to unsubscribe will be actioned immediately and no further emails sent. Historic data for email addresses unsubscribed by us or the subscriber will be deleted within 6 months. Data in the Members and Friends Mailing List (and its backup) will be held securely and will only be disclosed to committee members of Midland Players for the purposes above and to data subjects themselves in response to data subject access requests. 4. The email addresses and consent indicators will be periodically backed up into secure cloud storage from a supplier compliant with UK and EU law.
